PERSONAL ASSISTANT TO DIRECTOR
Hoi P'loy is a business that designs and manufactures bespoke lighting. We're on the hunt for a new person who can be part of our tight knit team. We are looking for a special person to work closely along side the director assisting and helping lead the team and business to success.
We are a team of 10 people based in Salt River, Cape Town.
Working hours are Mondays - Fridays from 8am to 5pm and the first Saturday of the month from 9am - 2pm.
The right person will be integrated into most aspects of the business and will assist the director in both business and personal capacity. Essentially, you will be an extra pair of hands to the director, assisting with tasks that need completion. The right person should be self-motivated, efficient, eloquent in terms of both verbal and written communication skills, have naturally good organizing and interpersonal skills.
Manage the director's personal calendars and appointments.
Attend meetings, take minutes, generate task lists for actions, and follow up on the progress with regular feedback.
Assist with business administration which includes basic admin, purchasing of consumables, building maintenance, and following up with suppliers when needed.
Be part of the planning of business and business growth strategies alongside the director which might include developing marketing plans, design & production planning, recruitment, and procurement.
Provide support to sales and customer service part of the business by answering phone calls, assisting walk-in customers and customer queries when backup support is needed.
Be available to open and/or close of the business when needed.
Collection of groceries occasionally.
Assist with children's pick up from school and some support tasks when needed. [Children age 5 and 3] Please note, the director already has full-time childcare, this would be more of a supportive role.
Qualifications and minimum requirements
Minimum Matric (Grade 12) or equivalent.
Valid Drivers’ License and your own vehicle
Solid background in MS Office products including MS Word, Excel, Windows. Gmail, Google workspace and Google Sheets
Knowledge and experience of general administrative processes
Live within 10-15 km radius from Salt River, Cape Town.
Administrative qualification or certification.
2–3 years of experience in a PA or administrative role
